To all users:

With the upgrade to the new 7.0 software we have made an internal administrative change to how we email out of the EMS system.  This change will localize emails from all users for confirmations and email correspondence.  The system will now track all emails related to events that schedulers send and, the record of the email will be in EMS rather than in Microsoft Outlook.  We have assessed that this is a best business practice as we can navigate more efficiently when confirmations were sent to Customers, Physical Plant Work Order Desk, and other campus service providers.  This is especially helpful if an event coordinator is out of the office.

 

Some users are already setup from the previous version to have emails generated out of EMS and not Outlook but, we need to ensure that all users are operating by the same procedures.

 

Please see the attached document, and follow the steps to ensure that your personal settings follow the new global setting for email.  Please complete this task no later than September 1st, 2014.

Upgrade to EMS 7.0!

It is time to download the new version of EMS to your computer!

Installation Instructions:

The EMS 7.0 upgrade is complete.  EMS Enterprise Client is now available.  EMS Web Room Request will be available in your portfolio at 10am today.

PC Users must download the new version of EMS.  Please do the following:

1. Delete EMS 6.0 from your hard drive.

2. Open windows explorer and enter \\dragon\PCSOFT\All\EMS\EMS 7.0.  Double click on EMSClient.msi. and follow the prompts to install.

3. You may be prompted for server and database information:

a.  Server: Robin

b.  Database: ems_prod

4. Click on the computer start menu and in the search programs and files enter regedit.  Regedit.exe will display.  Click on it.  You will be prompted; Do you want to allow the following program to make changes to your computer – Registry Editor, click yes.   The program will open.  In the left menu bar, expand HKEY_CURRENT_USER, expand Software, and expand Dean Evans and Associates.  Click on Version 43.  In the right hand box, double click on Server, enter Robin in the Value Data.  Click OK.

EMS Mac users previously using Renoir will now access the application via the web.  Please follow and bookmark this link: http://eaglet.wesleyan.edu/EMSWebClient/.  You will log in with your Wesleyan portfolio credentials at the first prompt and then log in with you EMS credentials (if different) at the EMS login prompt).  If you are prompted for server and database information it is the same server and database information as indicated above.   You will always access EMS via this new link.

Users, if you have trouble downloading the file or accessing the webclient, please submit a ticket in Service Now.  Please also see our blog at: http://ems.blogs.wesleyan.edu/ for more.

For all MAC users:

While you will not have to re-install EMS to your computer, when you sign in through Renoir for the first time after the upgrade you will need to enter the following when prompted:

Server: Heron\sqlsrv_mast

Database: EMS_PROD

2. You will be prompted for your Wesleyan username and password.

3. You will be asked “would you like to save this file”- click save

a.  If you are using Internet Explorer, save the file to your desktop

b.  If you are using Mozilla, the file will automatically save and a Downloads dialog box will open.

4. Internet Explorer users: Double click on the file on your desktop to open the file, follow the prompts to run.

5.  Mozilla users: Double click on the downloaded file in the dialog box, follow the prompts to run.

6.  You may be prompted for server and database information:

a.  Server: Heron\sqlsrv_mast

b.  Database: ems_prod

If you have trouble downloading the file, please contact your desktop support specialist.

To All EMS Service Providers and Users:

This is a reminder that tomorrow, Tuesday, July 24th the campus Event Management System (EMS) will be unavailable for new data entry or updating all day.  During this time we will be completing an upgrade of the scheduling system.  Please do not log on.  Please also do not login to Virtual EMS (Room Request) through your portfolio.

The upgraded system will be available at 10am on Wednesday, July 25th and has relatively few changes from our existing system.  We will be scheduling EMS user group meetings in late August before the start of Fall semester to go over some of the important changes to the system.

There has been a change to the email settings in EMS.  If you are either a Mac user or a PC user and have recently encountered problems emailing from EMS, please do the following in EMS:

  1. Click “Settings” (upper left corner)
  2. Select “Preferences”
  3. In the SMTP Email section, change the “Server” to bulkmail.wesleyan.edu

 

If you continue to experience difficulty, please email emshelp@wesleyan.edu.

 

EMS PC Users – please re-install EMS Client on your desktop.  Please do the following:
